Manager of Special Events
Development Department
 

The Special Events Manager is a member of the Development Team, responsible for the logistics of all Big Sister events.  The Manager will report to the Associate Director of Development and is responsible for details such as guest lists, venue selection, auctions, and raffles and serving as the liaison with high level volunteers.  The Manager will provide support to the Board of Directors, event co-chairs and committees as needed.  Big Sister Association’s special events include:  Celebrity Chef dinner; Annual Meeting; Car Raffle; Rodman Ride; and our annual gala – Big in Boston.

 

 

Responsibilities

 

Manage all aspects of event preparation:

  • Secure volunteers and venues as needed, work with on-site contact (volunteer or staff)
  • Create and track event costs and budget
  • Design, produce and send invitations for all events, track responses
  • Create event timeline, run of show, and/or agenda
  • Manage all event logistics including food and drink, ancillary materials, create seating assignments
  • Work with appropriate management staff to create attendee briefings and post-event messages
  • Staff all events, acting as first line trouble shooter, greet attendees, answer questions and actively participate as needed
  • Create and execute follow up strategy after each event
  • Create and send thank you notes for appropriate representative to host, venue, etc.
  • Handle all billing and cost-analysis
  • Provide development staff with suggested follow up steps with attendees, as needed
  • Develop print materials, promotion, and guest experience in alignment with agency brand
  • Oversee consistent event “look and feel” working with the event staff
  • Supervise Events Intern

Additional responsibilities include:

  • Assist program staff in the coordination of major Big and Little Sister events
  • General support to the Development Team, as needed

Qualifications:

  • Bachelor's degree required
  • 1-3 years in Special Events or related field
  • Success working with high level volunteers

Manager of Recruitment

Recruitment and Community Partnerships Department

 

Big Sister Association is seeking a dynamic individual to lead Recruitment of volunteers and girls. The Manager of Recruitment will recruit girls and a diverse pool of volunteers to meet agency growth goals.

 

Responsibilities:

Recruitment and Community Partnership Department

  • Manage a team of four, ensuring each staff member meets department recruitment goals
  • Oversee administrative functions of the department including database management
  • Facilitate weekly meetings to ensure effective collaboration and team success
  • Participate on organization-wide Leadership Team, contributing effective solutions and decision-making to ensure universal success.

Volunteer Recruitment and Engagement

  • Develop, implement and manage annual recruitment plans.
  • Recruit the volunteers needed to achieve the annual targets for Total Girls Served in all programs.
  • Increase the number of women of color in the volunteer corps.
  • Recruit and coordinate assignment of volunteers for other agency needs such as events, activities and administrative office support.
  • Identify opportunities to engage volunteers, matches and staff in neighborhood and community events.
  • Support the agency’s Alumnae Association and Diversity Council.

Mentor-rich and Child Recruitment Partnerships

  • Identify and cultivate partnerships with mentor-rich corporations, colleges and universities; community-based agencies and other organizations committed to community service.
  • Routinely communicate and coordinate corporate partnership development with the Development office.
  • Identify and cultivate partnerships with organizations and individuals to recruit girls as may be needed.

Recruitment Marketing/Public Communications

  • Align recruitment marketing and communications with the agency’s marketing strategy established by the Marketing Committee of the Board and managed through the Marketing and Communications department.
  • Identify effective research-based multi-cultural marketing and communication strategies.
  • Conduct research necessary to identify venues for recruiting women to meet agency goals.

 

Qualifications

  • Bachelors degree with 3-5 years in volunteer recruitment/management, account management or related fields
  • Marketing/Public Relations/Customer Service experience preferred
  • Demonstrated experience working effectively in diverse communities including communities of color
  • Excellent interpersonal skills
  • Excellent written, oral and presentation skills
  • Excellent organizational skills—detail-oriented and able to multi-task.  Demonstrated competency in project management
  • Strong team-building, collaboration and consensus-building skills;  Comfortable entering into new situations and partnerships—corporate, university, and community-based
  • Good judgment and problem-solving skills
  • Community organizing experience a plus
  • Working knowledge of basic Microsoft Word, Excel and PowerPoint programs and data management systems
  • Interest in women and girls’ issues

Spanish Speaking Match Support Specialist,

Community-Based Mentoring

 

Big Sister Association is seeking dynamic individuals to join our Community-Based Mentoring team.  The Community-Based Mentoring program is a one-to-one mentoring program which matches girls, age 7-15, with adult women mentors.  As a Big Sister staff member you will contribute to a mentor-rich community in which every girl has access to the individual nurturing, guidance and support she needs to become a confident, competent and caring adult. 

 

Overview:

The Match Support Specialist provides case management support to match participants to ensure longer and stronger match relationships.  The Specialist also conducts match introductions to launch new match relationships.

 

Essential Functions, Responsibilities, and Activities:

  • Maintain an assigned caseload of approximately 100-110 Community-Based matches
  • Contact volunteers, parents and children according to agency standards based on length of match, in order to:

          - Provide both on-going risk management and support to keep the match strong;

          - Discuss match activity, personal safety reminders, and accomplishments;

          - Make assessments and produce comprehensive documentation related to

            individual training needs, information, and support needs for each match participant

          - Share information about agency activities, programs, and opportunities to donate

  • Conduct match introductions and match closures according to agency standards
  • Re-engage volunteers, children and parents as appropriate after match closure
  • Conduct match surveys and annual outcome evaluations with parent, child and volunteer
  • Attend match activities as assigned, seeking opportunities to make meaningful in-person contacts with matches
  • Become familiar with community resources for client information/referral and sharing knowledge and information with staff members as appropriate
  • Attend and participate in all team, staff and program meetings
  • Participate in weekly supervisor meeting to share pertinent information and escalate issues as they arise
  • Assist with agency special events as requested
  • Other duties as assigned by direct supervisor

 

Education, Experience, and Other Requirements:

  • Bachelor’s degree required and Master’s degree preferred in social or human sciences, such as social work, sociology or psychology
  • One year experience in a case management environment that required a heavy volume of phone work preferred
  • Bilingual English/Spanish fluency required
  • Intermediate proficiency with Microsoft Word, Outlook and Excel
  • Prior experience working with a database helpful
  • Availability and flexibility to work weekday evenings and weekends on a regular basis, as well as travel to varying local venues
  • Flexibility to work with diverse populations
  • Sensitivity to and experience in working with girls and women
  • 4/6 or more of the Technical Competencies below

Part-Time Match Support Specialist (2 Positions)

School-Based Mentoring

Start Date: May 2013 and June 2013

 

Big Sister Association is seeking dynamic individuals to join our School-Based Mentoring team.  The School-Based Mentoring program is a one-to-one mentoring program which matches elementary school girls with adult women mentors.  As a Big Sister staff member you will contribute to a mentor-rich community in which every girl has access to the individual nurturing, guidance and support she needs to become a confident, competent and caring adult. 

 

Overview:

The School-Based Mentoring Part-time Match Support Specialist provides a range of clinical and administrative tasks to help the department reach its service delivery goals.  Direct service responsibilities fall under two main areas: match support to matches, and school/ site coordination. The Match Support Specialist also provides other tasks as assigned, including enrollment and matching of Big and Little Sisters.

 

Core Responsibilities:

 

Match support:

  • Provide case management, clinical support and crisis intervention to Big and Little Sister matches
  • Facilitate workshops for Big Sisters
  • Establish and maintain relationships with caseload of Big Sisters, Little Sisters and families Maintain ongoing communication with Big and Little Sister matches
  • Maintain all administrative aspects of the matches including preparing, collecting and updating all forms, keeping accurate records and updating the AIM database with relevant case information.
  • Provide ongoing oversight and management of healthy match relationships

 

Site coordination:

  • Regularly visit school sites to provide on-site support and assure program quality standards
  • Promote positive relationships and ongoing collaboration with school personnel and community

 

Additional Responsibilities:

 

Enrollment and Matching:

  • Perform intake assessments/interviews of potential Big Sisters and Little Sisters
  • Utilize school-based mentoring orientation and training materials to prepare and support Big Sisters
  • Make matches between Big and Little Sisters

 

Qualifications:

  • Minimum bachelor’s degree in social services, human services or related fields
  • 1-2 years of experience in social services or related fields
  • Sensitivity to and experience in working with multicultural populations
  • Knowledge of child development theory
  • Knowledge of positive youth development principles
  • Passion for and commitment to gender-specific mission
  • Exemplary interpersonal skills in multicultural environments
  • Skilled at providing customized guidance, direction, coaching and customer service via phone, e-mail and in person
  • Excellent attention to detail, problem solving skills and critical thinking skills focused on customer service, child safety and goodness of fit for enduring match relationships
  • Highly organized, flexible and able to work both independently and as part of a team

  • Must be able to work during school hours

  • This position is part time and will require 20 hours per week

  • Masters degree in social work, counseling, or education

  • Mentoring experience and knowledge of best practices
  • Sensitivity to and experience in working with girls and women
  • Fluent in Spanish (writing, reading & speaking)
